Privacy statement

OfferDesk is a SaaS service of Flink Software B.V. This page says what we keep about you and about the customers you put in OfferDesk, what we do it for, how long we keep it and who else is involved. In plain words, no small print.

Who we are

Flink Software B.V. makes and runs OfferDesk (offerdesk.nl and app.offerdesk.nl). Questions about your data? Email info@offerdesk.com.

Two kinds of data

Data about you and your company. Your account, your company, your subscription. We are responsible for that: we decide what we keep and what for.

Data about your customers and suppliers. Everything you put in OfferDesk: your customers, their addresses and email addresses, your quotes, your products and suppliers, and what your customer does on their quote page. You are responsible for that. We keep and process that data only on your behalf, to make OfferDesk work for you. The agreements on that are in our terms and conditions. We do not look into your quotes and we use your customers' data for nothing else.

What we keep about you

Your account: your name, your email address, your language and your password. We store your password encrypted; we cannot read it ourselves. If you sign in with Google, Microsoft or Apple, we only get your name and email address from them.
Your company: the company name, the VAT number, the address, the logo and the invoicing details you fill in, such as the email address for invoices and your IBAN if you give it.
Your subscription and payments: which plan you have, since when, and whether the payment went through. The payment itself goes through Mollie; we see no card numbers or full bank details.
Signing in and security: every time you sign in we keep the time, the IP address, the kind of device and browser, and the approximate location (from the IP address). That way you can see where you are signed in, and we warn you about a sign-in from an unknown device.
How you found us: whether another business owner referred you and which site you came from, for the referral discount and to know what works.
Emails we send you: which emails we sent, such as the confirmation of your email address and the notifications about your quotes.
Use of OfferDesk: in broad lines what you do in the app, such as when you last signed in and how many quotes you made. That tells us whether OfferDesk works and what could be better. We do not read the content.

What for, and on what basis

To provide OfferDesk. Your account, your company, your quotes and your subscription: without that data it does not work. This is necessary for the agreement with you.
Because we have to. We keep invoices and payment details for seven years for the tax authorities.
To keep your account safe and improve OfferDesk. The sign-in details and the use in broad lines. This is our legitimate interest; we keep no more than needed for it.
With your consent. The newsletter. You sign up yourself and you can unsubscribe any time with the link at the bottom of every email.

Who else is involved

We do not sell data. A few parties help us run OfferDesk and get only what they need for that:

TransIP, a Dutch hosting provider with servers in the Netherlands. OfferDesk runs there and that is where the data and the backups are.
Mailtrap and Lettermin, through which we send email: the emails about your account and the quotes you send to your customers. Lettermin is a Dutch company.
Mollie, for paying your subscription, and for the payment requests to your customers if you use those.
Moneybird, only if you connect OfferDesk to your Moneybird bookkeeping. Then we pass on the data you choose.
Google, Microsoft or Apple, only if you sign in with them.
MailerLite, for the newsletter, if you sign up for it.
Google Analytics, on this website (not in the app), to see how the site is used.

The approximate location at sign-in comes from a database on our own server; nothing goes to another party for it. Where one of these parties processes data outside the European Union, it does so under the standard contractual clauses of the European Commission.

How long we keep it

Your account and your company: as long as you use OfferDesk. If you stop, we delete your company and everything in it, including your customers' data, within 30 days after your subscription ends. Until then you can still export everything.
Invoices and payments: seven years, because we have to.
Sign-in details: 90 days.
Backups: at most 30 days. After that, deleted information is gone from the backups too.
An account without a company that was never used after a year is deleted.

How we keep it safe

Everything between you and OfferDesk goes over an encrypted connection. We store passwords encrypted, and the keys of connections such as Moneybird too. Every company has its own separate place in the database: your data is visible to nobody else. We make a backup every day. We only look into your data when you ask us to because of a problem.

Cookies

In the app we only use cookies that are needed to keep you signed in and to remember your language and preferences. On this website we use Google Analytics to see how the site is used.

Your rights

You may always see what we have about you, have it changed or deleted, take it with you to someone else, or object to what we do with it. Much of it you can do yourself in the app: your profile, your company details and your customers' data. For the rest, email info@offerdesk.com; you get an answer within a month. If you think we handle your data badly, you can complain to the Dutch Data Protection Authority, the Autoriteit Persoonsgegevens.

Are you a customer of a company that uses OfferDesk and do you have a question about your data? Contact that company: it decides what happens with your data. We help them with that when needed.

If this changes

If something important changes in how we handle your data, we let you know by email or in the app. The latest version is always on this page.
